Personal Data Treatment Policy of TAX NEXUS S.A.S.

    1. With respect to Professional Contacts: The data will be processed for purposes related to the dissemination of tax and legal information, including newsletters and other documents with tax and legal content produced by TAX NEXUS S.A.S., as well as for the promotion of its activities
    2. With respect to Employees: The processing of the data will be carried out for purposes related to their connection, execution and termination of the labor or professional relationship that arises between the employee and TAX NEXUS S.A.S..
    3. Regarding Job Candidates: The processing of personal data will be carried out in order to advance personnel selection processes and hiring of employees to link them to the firm or for the recruitment of personnel through the Professional Internship program.
    4. With respect to Suppliers: The processing of data will be carried out in order to contact and contract with suppliers for products or services that TAX NEXUS S.A.S. requires for the normal functioning of its operation and for the adequate provision of its facilities or offices.
    5. Regarding Journalists: The processing of data will be carried out for purposes related to providing information and dissemination of the activities of TAX NEXUS S.A.S. to strengthen its image in the public opinion.

      2. Order, catalog, classify, divide or separate the information provided by the owners.

  3. Rights of the Holders:
    1. To know, update and rectify the personal data against TAX NEXUS S.A.S. as responsible or in charge of the treatment.
    2. Request proof of the authorization granted to TAX NEXUS S.A.S. as responsible for the treatment, except when expressly exempted as a requirement for treatment.
    3. To be informed by TAX NEXUS S.A.S. as the data controller or the person in charge of the processing, upon request regarding the use given to the personal data.
    4. File before the competent authority, complaints for violations to the personal data protection regime.
    5. To revoke the authorization and/or request the deletion of personal data when the treatment does not respect the principles, rights and constitutional and legal guarantees.
    6. Access free of charge the personal data that have been subject to processing.

Sensitive Data: You have the right to choose not to answer any sensitive information requested by TAX NEXUS S.A.S., related, among others, with data about your racial or ethnic origin, membership in trade unions, social or human rights organizations, political, religious, sex life, biometric or health data.
  5. Data of Minors: The provision of personal data of minors is optional and must be done with the authorization of the parents or legal representatives of the minor.
  6. Attention of Petitions, Complaints, Inquiries and Claims: To make requests, queries and claims in order to exercise your rights to know, update, rectify, delete data or revoke your authorization please contact TAX NEXUS S.A.S., Monday through Friday from 8:00 AM to 5:00 PM at info@taxnexus.co email and phone +57 314 8889665.
  7. Procedure to exercise the Rights:
    1. You have the right to request proof of your authorization granted to TAX NEXUS S.A.S., as well as to know, update and rectify your personal data. To do so, you may:
      1. To make inquiries from Monday to Friday from 8:00 AM to 5:00 PM to the e-mail info@taxnexus.co and telephone +57 314 8889665. When making your request for consultation you must submit the following documents:
          1. If it is the Holder: Attach a copy of the identity document.
      2. If it is the assignee: Identity document, civil registry of death of the Holder, document that proves the capacity in which he/she acts and the number of the identity document of the Holder.
      3. In the case of a legal representative and/or proxy: Valid identity document, document proving the capacity in which he/she is acting (Power of Attorney) and the Holder’s identity document number.
    2. The request will be answered within a maximum term of ten (10) business days from the date of filing. When it is not possible to answer the query within that period, you will be informed of the reasons for the delay, and the date on which your query will be answered, which in no case may exceed five (5) business days following the expiration of the first term.
      You may access your personal data free of charge and the requested information may be provided by any means, including electronic, as required.
    3. Request for deletion of information from our databases or revocation of the authorization granted for the processing of your personal data: To request the deletion of your data from our databases or revoke the authorization granted for the processing of your personal data you may make the request from Monday to Friday from 8:00 AM to 5:00 PM to the email info@taxnexus.co and phone +57 314 8889665.
    4. Your request must indicate your intention to have your personal data deleted from our databases or to revoke the authorization granted for the processing of your personal data. Likewise, the request must be made clearly identifying the name of the owner, the number of your identity document and your contact information (telephone and an updated email). When making your request for consultation you must submit the following documents:
      1. In the case of the Beneficiary: Attach a copy of the identity document (C.C., T.I., C.E. or Passport).
      2. If it is the assignee: Identity document, civil registry of death of the Beneficiary, document that accredits the capacity in which he/she acts and the number of the Beneficiary’s identity document.
      3. In the case of a legal representative and/or attorney-in-fact: Valid identity document, document proving the capacity in which he/she is acting (Power of Attorney) and the Holder’s identity document number.
    5. If the request is incomplete, the interested party will be required within five (5) days of receipt thereof to correct the faults. After two (2) months from the date of the requirement, without the applicant submitting the required information, it will be understood that the claim has been abandoned. In the event that the person receiving the claim is not competent to resolve it, he/she will transfer it to the appropriate person within a maximum term of two (2) business days and will inform the interested party of the situation.
    6. Once the complete request has been received, it will be included in the database, within a term no longer than two (2) business days, the legend “request in process” and the reason for it. Said legend will be maintained until the request is decided. The maximum term to attend the request shall be fifteen (15) working days from the day following the date of its receipt. When it is not possible to respond to the request within such term, the interested party will be informed of the reasons for the delay and the date on which the request will be responded to, which in no case may exceed eight (8) business days following the expiration of the first term.
  8. Information Security: TAX NEXUS S.A.S. has adopted reasonable security measures to protect the information of the Data Controllers and prevent unauthorized access to their data or any unauthorized modification, disclosure or destruction thereof. Access to personal data is restricted to those employees, contractors, representatives and agents of TAX NEXUS S.A.S. in charge of data processing and who need to know the data to perform their duties and develop the corporate purpose of the entity. TAX NEXUS S.A.S. does not allow access to this information by third parties under conditions different from those announced, except for an express request from the owner of the data or persons legitimized in accordance with national regulations.
    • However, TAX NEXUS S.A.S. shall not be liable for computer attacks and in general any action aimed at infringing the security measures established for the protection of personal data and information other than these contained in its computer equipment or in those contracted with third parties.
  9. Effective date of the Information Processing Policy and period of validity of the TAX NEXUS S.A.S. databases.: This policy becomes effective on March 13, 2018 and the databases will be maintained for the term that TAX NEXUS S.A.S. develops its object.
